Does your Health and Safety system add value to your business processes?

Nowadays everything is done electronically. We send emails instead of mailing letters. We do electronic banking instead of going to the bank. We use electronic accounting systems. However, when it comes to health and safety, companies still use multiple outdated safety files or fragmented software modules offering only partial solutions. This inspired Director Chris Oosthuizen to develop an electronic safety management system that is revolutionising the health safety industry.

Safe Working Practice SA is a BEE Level 2 contributor with more than 10 years of experience in the health and safety industry. We have 14 franchises and 3 head office owned branches, with an overall staff compliment of approximately 140. We do 12,000+ safety audits per year, making us an industry leader in South Africa.

Most traditional safety management systems fail due to a lack of commitment from management and employees because they do not understand their legal liability. Very few people have any knowledge or formal training regarding health and safety. If your safety management system does not add value to your company activities and you do not act on non-conformances, your safety management system will be nothing more than a paper exercise and extra workload.

Employers also fail to understand that maintaining a health and safety system and monitoring employees adds value to their business processes by saving valuable time that could be lost in the event of a breakdown, accident, or costly on-site maintenance. We often find that companies have varying standards between head office and branch level. The person responsible for safety at head office will have a safety management system in place and mail the documentation to the branches, who don't care to implement it because they are not properly policed. With a paper safety management system the reports that you get, if any, are always on historic values and there is very little real time data available.

i-Manage Safety

Safe Working Practice is the only health and safety consultancy that can offer companies an electronic safety solution that is backed by the knowledge and experience of safety professionals who will guide you throughout the onboarding process. i-Manage Safety was developed in line with ISO 45001 (Occupational Health & Safety) and is unique in the South African market, a complete electronic safety solution to address all needs for Health and Safety. The system allows any company, however big or small, to take full control of all aspects of their health and safety systems, in real-time, from anywhere in the world. The system is fully customisable, it is not an “off the shelf” product. You decide which modules you want to use, and we build your safety management system within its framework.

The system displays your company’s legal compliance on a single dashboard in real time. If your company has multiple branches and you have the appropriate security access, you can drill down (navigate) to any one of the branches to any specific activity. This allows head office to see in real-time what is going on at branch level. All non-conformances can be viewed on a single summary page and can be addressed in real time. The system automatically creates a ticket when there is any non-conformance in the system, which can be assigned to the responsible person to act on it and they will receive an email or SMS as a reminder.

Most items have specific workflow on which we can set reminders and notifications. The system, for example, automatically escalates any incident that is recorded to the minutes of the safety committee meeting. Any information that can help you pick up trends can be exported from the system. The system displays expiry dates of documents on various report pages to prevent crisis management and allow you to plan more effectively. It displays which training certificates are due to expire, which inductions need to be done and which toolbox talks are scheduled. Maintenance can also be scheduled against a specific asset and the system will notify you when maintenance is due via the automatic monitoring of the electronic registers.
